This Privacy & Legal Notice ("Notice") explains how your personal data is collected, used, stored and protected when you visit pitchnoir.agency (the "Site") or join the PitchNoir early-access waitlist (the "Waitlist"), and sets out the rights available to you under the UK General Data Protection Regulation (the "UK GDPR"), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003 ("PECR"). Please read it carefully. By submitting your email address to the Waitlist you confirm that you have read and understood this Notice.
1.About this Notice
This Notice applies solely to the Site and the Waitlist during PitchNoir's pre-launch period. It does not apply to the PitchNoir game or any account-based services, which will be governed by their own terms and privacy notice on release. We may update this Notice from time to time as the product develops (see section 15); the version number and "last updated" date above will always tell you which version is in force.
2.Who we are & who is responsible for your data
The Site and the Waitlist are operated by, and the "data controller" responsible for your personal data is, Campley Holdings Ltd, a private limited company incorporated in England and Wales. For the purposes of the UK GDPR, Campley Holdings Ltd determines the purposes and means of the processing described in this Notice. Where this Notice says "we", "us" or "our", it refers to that company in its capacity as operator of PitchNoir.
Company number: 14878864 (registered in England & Wales)
Registered office: 1 Park Road, Hampton Wick, Kingston upon Thames, KT1 4AS, United Kingdom
Data-protection contact: legal@pitchnoir.agency
3.The personal data we collect
We practise data minimisation and collect only what we need to run the Waitlist. Specifically, we collect:
- the email address you voluntarily submit through the Waitlist form;
- a timestamp recording when you joined;
- the source/page from which you signed up (for example, the hero form or the closing form), so we understand which part of the Site is performing.
When you visit the Site, our hosting provider may also automatically process limited technical data (such as your IP address, browser type and request logs) for security, fraud-prevention and reliability purposes. We do not ask for your name, postal address or payment details at this stage, we do not knowingly collect any special-category (sensitive) data, and we do not build advertising or behavioural profiles about you.
4.How and why we use your data
| Purpose | Data used | Lawful basis |
|---|---|---|
| Notify you about PitchNoir early access, launch and season-one updates | Email, sign-up timestamp, source | Consent |
| Understand and improve which parts of the Site drive sign-ups | Source/page, aggregated counts | Consent / legitimate interests |
| Keep the Site secure and prevent abuse of the Waitlist | Technical/log data | Legitimate interests |
| Comply with our legal obligations and handle your rights requests | The above, as needed | Legal obligation |
5.Lawful bases for processing
Under the UK GDPR we must have a lawful basis to process your personal data. We rely on your consent (Article 6(1)(a)) to send you Waitlist and marketing emails; you give that consent by submitting the Waitlist form and can withdraw it at any time. We rely on our legitimate interests (Article 6(1)(f)) to keep the Site secure and to understand sign-up performance, having balanced those interests against your rights. Where the law requires it, we rely on legal obligation (Article 6(1)(c)).
6.Marketing & your consent
If you join the Waitlist we will send you occasional emails about PitchNoir. We will not pass your details to third parties for their own marketing. Every marketing email includes a clear unsubscribe link, and you can also withdraw consent at any time by emailing legal@pitchnoir.agency. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.
7.Who we share your data with
We do not sell, rent or trade your personal data. We share it only with trusted service providers ("processors") who act on our instructions under appropriate contractual safeguards, and where we are required to do so by law. The Waitlist is hosted on Google Firebase / Cloud Firestore (provided by Google Cloud), which stores the data on our behalf. We may also disclose data where necessary to comply with a legal obligation, to establish, exercise or defend legal claims, or to protect the rights, property or safety of our users or the public.
8.International transfers
We configure our hosting so that Waitlist data is stored on infrastructure located in the European Union. Where any transfer of personal data outside the UK or European Economic Area takes place (for example, where a provider offers support from another country), we ensure an appropriate safeguard is in place, such as an adequacy decision or the International Data Transfer Agreement / Standard Contractual Clauses.
9.How long we keep your data
We keep your email and the associated sign-up information for as long as is necessary to fulfil the purpose for which it was collected — namely, until PitchNoir launches and for a reasonable period afterwards — or until you ask us to erase it or withdraw your consent, whichever happens first. After that, it is deleted or anonymised. Technical logs are retained only for a short period for security purposes.
10.How we protect your data
We take appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration, including access controls, encryption in transit, and reputable infrastructure providers. No method of transmission or storage is completely secure, but we work to protect your information and to review our measures regularly.
11.Your rights
Subject to the conditions in data-protection law, you have the right to: be informed about how your data is used; access the data we hold about you; have inaccurate data rectified; have your data erased ("right to be forgotten"); restrict or object to its processing; request portability of the data you provided; and withdraw consent at any time. You will not normally have to pay a fee, and we will respond within one month. We may need to verify your identity before acting on a request. To exercise any of these rights, contact legal@pitchnoir.agency.
12.Cookies & similar technologies
The Site sets no advertising, analytics or cross-site tracking cookies. Our hosting and security provider may set strictly necessary cookies required for the Site to function and to protect against abuse; these do not require consent under PECR. The trailer and background footage are served from our own domain. If we introduce analytics or other non-essential cookies in future, we will update this Notice and seek your consent through a cookie banner where the law requires it.
13.Children's privacy
The Site and Waitlist are intended for users aged 16 and over. We do not knowingly collect personal data from children under 16. If you believe a child has provided us with personal data, please contact us and we will delete it.
14.Third-party links
The Site may contain links to third-party websites or services that we do not control. This Notice does not apply to those third parties, and we are not responsible for their privacy practices. We encourage you to read the privacy notices of any third-party sites you visit.
15.Changes to this Notice
We may update this Notice from time to time to reflect changes in our practices, technology or legal requirements. Material changes will be indicated by an updated version number and "last updated" date at the top of this page, and where appropriate we will notify Waitlist members by email.
16.Complaints
If you have a concern about how we handle your personal data, please contact us first so we can try to resolve it. You also have the right to lodge a complaint with the UK's supervisory authority, the Information Commissioner's Office (ICO), at ico.org.uk or by calling 0303 123 1113.
17.How to contact us
For any question about this Notice, your personal data or your rights, contact our data-protection point of contact at legal@pitchnoir.agency, or write to the operator and data controller, Campley Holdings Ltd (company number 14878864), at its registered office: 1 Park Road, Hampton Wick, Kingston upon Thames, KT1 4AS, United Kingdom.
18.Governing law
This Notice and any dispute arising out of or in connection with it are governed by the laws of England and Wales, and the courts of England and Wales will have exclusive jurisdiction, save where mandatory consumer-protection law provides otherwise.
